It is one of the administrations established within the organizational structure of the University Vice Presidency and reports directly to the Vice President. The administration is responsible for documenting Taibah University’s properties, updating official title deeds, and supervising land surveying activities for university-owned properties in Madinah and its affiliated governorates. Its responsibilities also include monitoring university lands, preventing encroachments, and coordinating with the relevant government authorities to address any violations when they occur. Among its core duties is managing the administrative and financial relationship between the university and the owners of leased buildings, in accordance with university regulations and the State Property Leasing and Eviction System and its Executive Regulations. Additionally, the department oversees faculty housing, ensuring the provision of suitable accommodation for faculty members and their families within a healthy and socially supportive environment.
The objectives of the Administration of University Assets are centered on safeguarding the university’s properties — including lands and real estate — to ensure efficiency and accuracy in implementing regulatory procedures and maximizing their utilization. These objectives include documenting and updating land title deeds, as well as meeting the needs of various university entities for leased buildings through the completion of all required legal and administrative procedures. The administration also works to provide suitable housing for faculty members and their equivalents, ensuring the best possible living conditions for their comfort and well-being.
Overseeing the issuance and renewal of property title deeds, addressing encroachments, and representing the university before the relevant committees.
Conducting regular field inspections to protect university lands and properties and monitor any violations.
Submitting the annual plan request for all university sectors to register their building needs.
Requesting property leases that meet the university’s specifications and requirements.
Following up on lease contracts and coordinating with property owners and relevant authorities.
Implementing standardized procedures for the handover and receipt of leased buildings.
Coordinating with service departments for maintenance and operations, submitting reports, and ensuring proper follow-up.
Announcing the availability of housing units.
Preparing reports on housing applicants.
Submitting shortlisted names to the Permanent Housing Committee for final approval.
Preparing housing contracts and delivering them to the beneficiaries.
Coordinating with the Deanship of Human Resources and Capability Development to deduct rent amounts from the beneficiaries’ salaries.
Receiving the housing unit from the beneficiary after it has been vacated.
