Overview

The Administration of Warehouse is considered one of the key departments underpinning the university’s financial and administrative functions. It is responsible for supplying the various sectors of the university with their needs of furniture, equipment, stationery, and office supplies, in accordance with the approved procedures and mechanisms for disbursement and distribution.

Objectives

  • Improving the processes of receiving and storing goods.

  • Implementing a smart Warehouse Management System (WMS) using advanced and modern applications.

  • Developing work plans and operational mechanisms for warehouses.

  • Organizing inventory items in accordance with proper storage principles.

  • Meeting the needs of all university departments.

  • Providing security and safety measures.

  • Offering continuous training programs for warehouse staff.

  • Enhancing team skills and developing employee development plans.

  • Improving and accelerating order fulfillment processes.

  • Delivering customized and effective solutions to meet beneficiaries’ needs.

Tasks

  • Identifying the university’s needs for materials, equipment, stationery, office supplies, printed materials, furniture, and everything that supports the educational and administrative processes at the university.

  • Receiving materials, devices, equipment, and all supplies delivered to the university after fulfilling all required regulatory and legal conditions.

  • Ensuring the availability of necessary materials and items at the appropriate time and in suitable quantities to ensure proper completion of work, in cooperation and coordination with the relevant university departments.

  • Organizing, arranging, storing, and transporting warehouse materials using proper and safe methods.

  • Applying government warehouse rules and procedures to all receiving, issuing, and return operations.

  • Preserving warehouse materials and protecting them from damage or loss.

  • Issuing requests from university departments and units for available items in accordance with approved disbursement orders under the government warehouse system.

  • Preparing periodic reports on inventory balances in the warehouses, as well as statistical reports on the movement of materials within the warehouses, and submitting them to the authorized authority.

  • Providing the necessary facilitation for periodic and annual inventory committees and offering all support required to ensure the success of their work.

  • Submitting appropriate proposals to develop warehouse operations, simplify disbursement procedures, and preserve warehouse materials, and presenting them to the authorized authority.

  • Identifying the department’s needs for specialized positions in the field of warehousing, as well as labor and material requirements, and submitting them to the authorized authority.

  • Identifying training needs for the department’s employees and coordinating with the relevant university authority to nominate them for programs and training courses that meet the operational needs of the Warehouses Department.

  • Preparing periodic reports on the department’s activities and publishing them on the university’s official website.

  • Performing any other tasks assigned to the department within its scope of responsibility.
