Overview

The Secretariat of the University Council is an executive department directly linked to the President of the University. It facilitates the tasks of the University Council and works to provide all administrative services and secretarial work for everything related to the work of the Council in accordance with the Council’s system and all instructions issued by the University Presidency. The Secretariat is linked to the Secretary of the University Council, where the Secretary of the University Council assumes direct supervision of the Secretariat, who is appointed to this position from among the faculty members by the University Council, to assume the duties of the position of Secretary of the Council

Objectives

  •  Observing transparency in presenting all topics and adhering to the implementation of the system, regulations and instructions.

  • Directing efforts towards supporting and backing the university’s entities and the university council members with regard to the university council’s topics, providing them with assistance when necessary, cooperating with them and making efforts to help them as much as possible, to achieve the desired integration in the university in a way that documents the highest standards of teamwork and supports team spirit.

  •  Applying equality and justice, and paying attention to all issues with complete neutrality, without discrimination or bias.

  •  Maintaining complete confidentiality of information of a private nature, whether it requires this from an administrative or personal perspective.

Responsibilities

  • Overseeing the operations of the University Council Secretariat and working to improve its performance, including the use of modern technology in its work.

  • Securing the needs of the Council Secretariat within available resources.

  • Receiving topics to be presented to the Council and ensuring their completeness and compliance with regulations and bylaws.

  • Reviewing memoranda for presentation to the Council on these topics according to the nature of each topic, and presenting them during the session.

  • Preparing and organizing University Council meetings, including coordinating with relevant parties regarding suitable dates.

  • Preparing the agenda for the sessions, including the topics to be presented to the Council.

  • Sending invitations to Council members and informing relevant parties of the meeting date.

  • Preparing meeting minutes and obtaining members' signatures before submitting them to His Excellency the Minister of Education (Chairman of the Council) for approval.

  • Communicating the Council's decisions after their approval.

  • Maintaining and electronically archiving the Council's minutes, topics, and files.

  • Preparing performance evaluations for the staff of the University Council Secretariat. 12. Communicating with the Secretariat of the Council of University Affairs and its counterparts, the secretaries of university councils, on all matters falling within the Secretariat's purview.

  • Evaluating the Council's performance periodically and conducting benchmarking for continuous improvement.

  • Preparing a report on the Council's Secretariat at the end of each academic year, in accordance with applicable regulations.

  • Submitting the financial entitlements of Council members.
