Introduction

The visiting student system allows male and female students to study selected courses outside their home university or at one of the university’s branches, in accordance with specific regulations that ensure the quality of academic outcomes, support students’ academic progress, and enhance the flexibility of educational mobility between universities and branches.

Objectives of the Visiting Student System

  • Enabling students to complete their study plan requirements without delay.
  • Facilitating student mobility between universities and across different branches.
  • Strengthening academic cooperation among Saudi universities.
  • Maximizing the use of available courses based on institutional capacity.

Definitions

Term Definition
Visiting to Taibah University Registration of a regular student from another university to study selected courses at Taibah University after obtaining approval from their home university.
Visiting from Taibah University to another university Registration of a regular Taibah University student to study selected courses at another recognized Saudi university.
Internal Visiting between Taibah University Branches Registration of a regular student from one branch of Taibah University to study courses at another branch.
Home University The university in which the student is officially enrolled and from which their academic records and final degree are issued.
Study Plan The set of approved courses that a student must complete in order to graduate.
Capacity The maximum number of students who can be enrolled in a specific class section, as determined by the college.

Visiting to Taibah University (From Outside the University)

General Conditions

  1. Students enrolled in distance learning or paid programs are not eligible for visiting status.
  2. The student must be Saudi or born to a Saudi mother.
  3. The student must have completed at least one full academic year in a regular full-time program at their home university.
  4. Compliance with the academic calendar of Taibah University is mandatory.
  5. Taibah University bears no financial obligations toward visiting students (e.g., stipends, certificates, travel discounts, etc.).
  6. Visiting students are not eligible for university housing.
  7. Visiting is not permitted for first-year major courses.
  8. Graduation projects, training courses, or any courses not listed in the home university’s official approval letter are not allowed.
  9. The maximum visiting period is two academic semesters (consecutive or separate). A new application is required for each semester.

Required Documents

  1. An official approval letter from the Dean of Admission and Registration at the home university, addressed to the Dean of Admission and Registration at Taibah University, specifying the requested courses.
  2. A recent official academic transcript (certified and stamped) issued by the home university.
  3. Proof of identity:
    • National ID / Family Register (for Saudis), or
    • Residency permit + birth certificate (for students born to a Saudi mother).

All documents must be submitted electronically in PDF format via:
 dar-regist@taibahu.edu.sa or through the approved electronic service.

Application Procedures (From Outside the University)

  1. Print the course descriptions from the university portal (or contact the relevant college if unavailable).
  2. Complete the visiting application form at the home university, including Taibah University course details (code, number, name, credit hours, language of instruction).
  3. Obtain official approval from the Deanship of Admission and Registration at the home university.
  4. The application is reviewed and approved by the Deanship of Admission and Registration at Taibah University after verifying compliance and course availability.
  5. Register the approved courses in Taibah University’s academic system.
  6. Issue a temporary university ID and email for the visiting student.
  7. Provide the student with a transcript at the end of the semester.
  8. The visiting student’s record is closed after final results are announced.
  9. If the student is unable to continue, they must submit a withdrawal request to their home university and provide Taibah University with the official approval letter.

 Visiting from Taibah University to Another University

General Conditions

  1. The student must be Saudi or born to a Saudi mother.
  2. The student must be regularly enrolled at Taibah University and have completed at least two academic semesters.
  3. The student must not be withdrawn, internally visiting, or have a pending transfer request.
  4. The host university must be officially recognized by the Ministry of Education.
  5. The requested courses must be included in the student’s study plan and eligible for equivalency, subject to approval by the relevant department/college.
  6. The student must register for a minimum of 12 credit hours at the host university (except for students expected to graduate).
  7. Only the courses listed in the official approval letter from the Deanship of Admission and Registration will be recognized. Any additional courses will not be equated.
  8. The student must maintain regular attendance. In case of withdrawal, an official request must be submitted to Taibah University and the host university notified. Failure to do so may result in withdrawal from the university.
  9. Graduation projects and training courses are not allowed at the host university.
  10. The student must adhere to the academic calendars of both Taibah University and the host university.
  11. The maximum visiting period is two academic semesters (equivalent to one academic year). Each semester requires a separate application.
  12. Visiting courses must not exceed 25% of the student’s total study plan.

Required Documents

  • Approved course descriptions from the relevant college at the host university.

Procedures

  1. Submit the application through the Tech Service electronic platform during the designated period.
  2. The college reviews the courses and verifies their eligibility for equivalency.
  3. The application is forwarded to the Deanship of Admission and Registration for official approval.
  4. The request is approved by the Transfer and Visiting Unit.
  5. The student registers at the host university according to its regulations.
  6. Within one week, the student must submit to Taibah University:
    • Class schedule
    • Copy of university ID
    • Enrollment status certificate
  7. At the end of the semester, the host university sends an official transcript to Taibah University, or the student submits it within one week after the end of the semester.
  8. The transcript is reviewed and forwarded for equivalency.
  9. Approved courses are added to the student’s academic record.

Internal Visiting Between Taibah University Branches

General Conditions

  1. The student must be regularly enrolled in one of Taibah University’s branches.
  2. The student must not be withdrawn or have a pending transfer request.
  3. The student must have completed at least two academic semesters at the home branch.
  4. The requested courses must be included in the study plan and eligible for equivalency.
  5. Course sections must be available at the host branch within capacity limits.
  6. Training courses and graduation projects are not permitted without prior approval from the relevant college.
  7. Applications must be submitted within the period specified in the academic calendar.

Internal Visiting Application Procedures

  1. Submit the application through the Tech Service platform in accordance with the academic calendar.
  2. The request is reviewed by the student’s college.
  3. Applications are forwarded to the Deanship of Admission and Registration based on the host branch’s capacity.
  4. Courses are registered at the host branch, and the academic advisor completes the registration. If registration is not possible, the student is returned to their home branch.

Selection and Prioritization Mechanism for Internal Visiting

  • Priority is given to direct beneficiaries of social security.
  • If additional seats are available, they are allocated to orphans, persons with disabilities, and similar categories, including:
    • Children of prisoners
    • Children of martyrs
    • Any other category specified by an official directive
  • In case of equal applications, priority is based on cumulative GPA.
  • If equality persists, priority is given based on the order of electronic submission.

General Provisions

  • All applications must be submitted electronically; paper-based applications will not be accepted.
  • Students are subject to all university regulations and bylaws.
  • Colleges determine the capacity for visiting students each semester.
